1. Publish the event
Start with the event record: name, venue, and the performance dates. A three-night rodeo has three performances; each is priced and sold separately even though the buyer picks them in one cart. Publish only when the schedule is final; the storefront serves the record exactly as saved.
2. Price the tickets
Set a face price per tier per night. Adult general admission is one tier. VIP box is another. Kids and seniors are usually separate tiers with their own face prices. Every price the treasurer types shows a live preview of the all-in total the buyer will see, because a face price on paper is not the number that matters on checkout.
Decide who pays the fee: buyer or committee. Buyer-payer is the default and the number the committee keeps is the face price. Committee-payer takes the fee out of face value; the treasurer signs off on what comes out.
3. Enroll partner sellers
A rodeo committee’s biggest sales channel is usually a feed store, a saddle shop, and a rodeo queen each selling to their own customer base. Enroll each as a partner with a commission rate. The platform mints a short link and a QR poster for their shop. Cash sales at the counter enter a partner ledger and net against commission at payout.

4. Open the gate scanner
Install the gate scanner PWA on the volunteers’ phones the day before. Have them sync the manifest while the phone still has signal. On the night of, the phones scan against the local manifest and duplicate detection works even with no bars.

5. Settle the books
After the last performance closes, the platform runs settlement. Fees, refunds, chargebacks, partner commissions, and cash netting all reconcile into a single statement the treasurer can download the next morning. Payouts release after the settlement window closes and a reserve holds against late chargebacks.
What to ask any ticketing vendor
- What is the total the buyer pays for a $25 ticket? Confirm the number matches what the storefront shows first.
- Does the gate scanner work offline for the entire duration of the rodeo?
- How do partner sellers get paid? A dashboard entry is not the answer; automated Stripe Connect transfers are.
- When do we get paid, and what reserve do you hold?
